  1. Legal Basis and Purpose of Processing Personal Data / Purpose of the Register

The legal basis for processing personal data under the EU General Data Protection Regulation is the contract that is formed when a customer orders products and/or services from Ukonhonka Oy’s online store. The purpose of the register is to enable online trading through Ukonhonka Oy’s online store, such as the exchange of order information, billing details, payment confirmation data, or processing information between Ukonhonka Oy and the customer. In addition, the register is collected to facilitate contact required by customer service, maintain the customer relationship, and for electronic marketing communications when the customer has given consent for this.

Ukonhonka Oy does not, in any way, store orders or related information for products ordered from other merchants in its customer register.

The data is not used for automated decision-making. The data may be used for profiling.

Additionally, for companies, the following information is recorded:

Furthermore, the process allows the customer the opportunity to freely provide other information deemed relevant in an additional information field.

Data Retention Period

The data is retained as long as there is a valid mutual agreement and/or consent between the user and Ukonhonka Oy.

The data may be stored for a longer period if necessary to fulfill the obligations set by current legislation, such as accounting and consumer sales responsibilities, and to demonstrate their proper implementation.

  1. Regular Sources of Data

The data is collected via electronic forms on the Johku online service. Customers personally enter the information when ordering from Ukonhonka Oy’s Johku online store.

  1. Regular Data Disclosures and Transfer of Data Outside the EU or the European Economic Area

The data is not specifically disclosed further and remains solely with the data controller. The data may technically be processed outside the EU or the European Economic Area.

  1. Principles of Register Protection

The processing of the register is conducted with care, and the data handled through information systems is adequately protected. When register data is stored on Internet servers, appropriate measures are taken to ensure the physical and digital security of the hardware. The data controller ensures that the stored data, as well as access rights to the servers and other critical information for the security of personal data, are handled confidentially and only by employees for whom it is part of their job responsibilities.

Electronically Stored Data

The register is located in the Johku service, and Aptual Commerce Oy acts as the data processor. Full register data is accessible only to the data controller and the technical maintenance staff of Aptual Commerce Oy.

Manual Material

In principle, we avoid printing the data in the register as manual material. In cases where the register data is printed as manual material, it is stored in a locked room and only accessible by the data controller.

  1. Right of Access and How to Exercise It

Every individual whose data is included in the register has the right to review the data stored and to correct any incorrect or incomplete information. Ukonhonka Oy’s Johku system automates this right as follows:

Johku communicates with the user via the Oma Johku service in connection with confirmation messages from the merchant regarding the processing of personal data. The messages contain a link to the Oma Johku service.

In Oma Johku, the user can check the stored data and make corrections if necessary. The service also offers functionality that allows the user to download the data in a structured format for transferring the data from one system to another. The Oma Johku service is accessible at any time at johku.com/customer.

Oma Johku also offers the possibility to terminate the Oma Johku agreement and delete the data from Oma Johku. If the user terminates the use of Oma Johku and ends their agreement with Johku, all automated functionalities related to managing their own data cease. After the termination of the agreement, the user must manage their own data (review, correction, right to be forgotten, restriction, right to transfer from one system to another) in writing directly with Ukonhonka Oy. Ukonhonka Oy may, if necessary, request the requester to prove their identity. Ukonhonka Oy will respond to the written request within the period specified by the EU General Data Protection Regulation (in principle, within one month).

The use of the Oma Johku service is free of charge.

  1. Other Rights Related to the Processing of Personal Data

An individual whose data is stored in the register has the right to request the deletion of their personal data from the register (“right to be forgotten”). In addition, data subjects have other rights under the EU General Data Protection Regulation, such as the right to restrict the processing of personal data in certain situations.

However, it should be noted that the data stored in Ukonhonka Oy’s customer register is created when a customer purchases products and/or services. In such cases, Ukonhonka Oy is also bound by the obligations set by accounting and tax legislation regarding the retention of the material.

Requests must be sent in writing to the data controller. The data controller may, if necessary, ask the requester to prove their identity. The data controller will respond to the customer within the time specified by the EU General Data Protection Regulation (in principle, within one month).

  1. Cookies

This site uses cookies. The site sends a small file to the browser, which is stored on the computer’s hard drive. Both (temporary) session cookies, which expire when the Internet browser is closed, and persistent cookies, which are stored on the computer’s hard drive, are used. The purpose of the cookie is to enhance the user experience on the site. If you are a registered user, the cookie also manages login and access to pages intended only for registered users. Cookies are used to track and examine the user’s interests and thereby influence the usability of the service. Internet browsers generally accept cookies automatically. If necessary, cookie usage can be disabled in the browser settings, although some functionalities may then be lost.

The data collected via cookies and web beacons does not contain personal data. Online activities cannot be linked to a specific individual using this information.
